2. Strict Non-Refundable Policy After Arrival in Nepal and Commencement of the Trip

Once the client has arrived in Nepal and departed for the trek or expedition, 100% of all payments made to Sherpa Expedition & Trekking Pvt. Ltd. become strictly non-refundable.

  • This policy applies regardless of the payment method, including credit card, debit card, bank transfer, cash, or any other payment method. It applies to the full amount paid, whether the client has paid the entire trip cost or only part of it.
  • No refund, partial refund, reimbursement, future credit, or compensation will be provided if the client:
  • Decides voluntarily to return early from the trek or expedition for any reason.
  • Returns early due to sickness, injury, exhaustion, personal circumstances, lack of fitness, or any other health-related or personal issue.
  • Cannot continue or complete the planned itinerary due to weather changes, heavy snowfall, strong winds, rain, avalanches, landslides, or other adverse mountain conditions.
  • Is required to change the itinerary, route, destination, accommodation, or schedule due to weather, safety concerns, local conditions, government restrictions, or operational circumstances.
  • Cannot reach a planned destination, high camp, mountain pass, trekking region, or summit.
  • Chooses to leave the group or discontinue the trip at any point after departure from Kathmandu.

3. Weather Conditions and Failure to Reach the Summit

Mountain weather is unpredictable and can change at any time. Sherpa Expedition & Trekking Pvt. Ltd. cannot guarantee that clients will reach a particular destination or successfully summit a mountain.

If the summit attempt is cancelled, delayed, or unsuccessful due to bad weather, heavy snowfall, strong winds, unsafe climbing conditions, or any other circumstances beyond our control, all payments made remain 100% non-refundable.

This policy also applies if the client has arrived at the mountain, reached base camp or high camp, or spent additional days waiting for suitable weather conditions. Even if the client arrives two or three days earlier, waits for several days, or uses additional contingency days in the hope of improving summit conditions, no refund will be provided if the summit cannot be attempted or completed.

4. No Refund for Itinerary Changes or Early Return

Any changes to the original itinerary, including route changes, alternative destinations, additional waiting days, early returns, or adjustments made for safety, weather, health, or operational reasons, do not create any entitlement to a refund.

Once the trip has commenced after the client's arrival in Nepal and departure for the trek or expedition, the full amount paid is non-refundable, even if the trip is shortened, interrupted, modified, or not completed as originally planned.

5. Client Acknowledgement and Acceptance

By confirming a booking and commencing the trek or expedition, the client acknowledges and accepts this policy. The client understands that trekking and mountaineering involve unpredictable weather, changing mountain conditions, safety risks, and possible itinerary changes.

The client agrees that all payments made after commencement of the trip are strictly non-refundable under the circumstances described above, irrespective of the payment method or the reason for the trip being interrupted, changed, shortened, or not completed.

Below is the revised version for Sherpa Expedition & Trekking Pvt. Ltd. I have made these sections stricter and aligned them with your 100% non-refundable policy after commencement of the trip.

You can add these sections to your official Terms & Conditions.

  • In such situations, Sherpa Expedition & Trekking Pvt. Ltd. will make reasonable efforts to assist clients and arrange alternative itineraries, transportation, accommodation, or other suitable arrangements wherever possible.
  • However, clients must understand that alternative arrangements may involve additional costs.

  • Any special postponement or credit arrangement must be expressly approved in writing by the company.

11. PRICE CHANGES AND ADDITIONAL CHARGES

13. FLIGHT DELAYS, CANCELLATIONS AND ADDITIONAL EXPENSES

Flight delays, postponements, and cancellations are common in Nepal, particularly during unfavourable weather conditions in remote mountain regions, including the Everest, Annapurna, Dolpo, Simikot, and Jumla regions.
